Automation for professional services firms

Professional services firms sell expertise by the hour, then lose hours to proposals, onboarding, reporting and timesheets. The CRM, project and document tools you already own can handle much of that work once they're set up properly.

You already have the tools. You just haven't had time to build them out. I do it for you.

The non-billable drag

Every firm has a layer of non-billable work that grows with the client list: proposals, kickoffs, monthly reports, status updates and invoice backup. It's usually done by senior people because they know the clients best, which makes it the most expensive work in the firm.

What the work looks like day to day

Profitability in a services firm depends on utilization, and utilization depends on how much of the week senior people spend on billable work. Every hour spent formatting a report or chasing a timesheet is an hour that can't be billed, and those hours rarely show up on any dashboard.

Building the reporting, onboarding and proposal layers once, then letting them run from your project data, is one of the highest-leverage things a small firm can do. It also makes the firm less dependent on any single person's memory of how things are done.

Templates plus automation

The fix starts with good templates (proposal modules, onboarding checklists, report formats) and then automates their assembly from the data you already have. People still write the parts that need judgment and review everything before it reaches a client.

Different firms, same pattern

Marketing agencies and consultancies tend to start with proposals and reporting. Engineering and architecture firms tend to start with RFP packaging and timesheets. The niche pages below go into each.

How we'd work together

We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well.

Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.

No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.

Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.

FAQ

Professional services questions

We're a firm of five. Is this too early?

No. Small firms often get the most from one well-built template and automation.

Do you replace our project-management tool?

No. I build inside what you use, whether that's Asana, ClickUp, Deltek or Microsoft 365.

Can you work remotely with our team?

Yes. Professional services projects are often mostly remote.

Where should a firm start?

Usually with whatever senior people complain about most. For agencies that's often monthly reporting; for engineering and architecture firms it's often proposal packaging or chasing timesheets at the end of each billing period.
