CPA firm automation: stop chasing client documents

Most CPA firms already pay for practice management software that can request documents, send reminders and track work. In practice, staff still chase clients by email and track status in spreadsheets. That gap between what the software can do and what's been set up is where I work.

You already have the tools. You just haven't had time to build them out. I do it for you.

Where the time goes

What slows the office down

The document chasePartners and staff spend hours every week emailing clients for the same missing statements and forms, then matching what arrives to the right engagement.
Status questionsClients call to ask where their return or review stands. Answering means opening three systems and interrupting whoever is doing the work.
Meetings that don't turn into tasksClient meetings produce decisions and follow-ups that live in someone's notebook until the next meeting reveals they never happened.

Automated document requestsRequest lists are generated per engagement, reminders go out on a schedule, and staff see a live checklist of what's still missing.
Engagement letter workflowLetters are prepared from templates, sent for e-signature and filed automatically, with reminders for unsigned ones.
Client status updatesClients get a short update when their work moves to a new stage, generated from your workflow tool so nobody has to write it.
Meeting notes to tasksMeeting summaries are drafted from your notes and turned into assigned tasks in your practice management system, reviewed by the meeting owner.
Intake for new clientsNew-client questionnaires, conflict information and onboarding steps are collected once and flow into the right records.

Capacity is the real constraint

Most small and mid-sized firms aren't short on clients; they're short on staff hours, especially from January through April. Every hour saved on chasing and status updates is an hour of billable or review time recovered.

That's why the first project is usually the document chase: it's repetitive, measurable and visible to every person in the firm.

AI where it's safe

AI is useful for drafting client emails, summarizing long email threads and turning meeting notes into tasks. It shouldn't be used to make tax or accounting judgments, and client data should only go into tools covered by your security program. I set those boundaries in writing before anything is built.

Data handling

What stays where

CPA firms handle client financial data covered by the FTC Safeguards Rule. Automations live inside your existing, access-controlled practice management system, engagement and return data never goes into consumer AI tools, and every workflow is documented for your written information security plan. Professional judgment, signatures and advice stay with your CPAs; I don't provide tax, legal or compliance advice.

We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well. Nearby: Boise, Meridian, Nampa, statewide.

Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.

No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.

Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.

FAQ

CPA firms questions

Do you work with Karbon or TaxDome?

Yes. Both have automation features many firms haven't configured. We start there before adding anything else.

Will client data go into ChatGPT?

No. Client financial data stays in your secured systems. Any AI tool used is one your firm has approved and covered in its security plan.

When should we start?

Ideally after tax season, so a first project is built and tested before the next busy period.
